Ascenda Privacy Policy
Ascenda respects your privacy and is committed to protecting your personal information. This policy describes how we collect, use, and store your data when you use the Ascenda app. Information We Collect We collect information you provide directly, including your name, email address, phone number, profile photo, time zone, career level, goals, challenges, coaching preferences, and journal entries. We also collect information about your coaching interactions, AI chat history, affirmations, and subscription status. If you are a coach, we collect your professional profile information including credentials, focus areas, and availability. We also collect safety monitoring metadata, including flag category, severity, and timestamp, when AI coaching conversations are identified as potentially containing content related to safety concerns. Flagged conversations remain subject to the same encryption protections applied to all coaching chat history. How We Use Your Information We use your information to operate and personalize the Ascenda platform, generate AI coaching prompts and reflections, match you with coaches, process your subscription, and communicate with you about your account. AI Interactions Inputs you provide, including journal entries, coaching chat messages, and survey responses, are processed by artificial intelligence systems to generate personalized coaching content. These inputs may be transmitted to OpenAI for processing. We do not use your personal data to train AI models. AI-generated content is not a substitute for professional mental health or medical advice. Third Party Services We use the following trusted third party providers to operate Ascenda: • Supabase — secure database hosting and authentication • OpenAI — AI coaching, affirmations, and journal enrichment • BuildShip — AI chat workflow orchestration • RevenueCat — subscription and payment management • Apple App Store and Google Play — payment processing • Resend — transactional email delivery Each provider is subject to their own privacy policy and is required to protect your data in accordance with applicable law. Data Retention We retain your personal data for as long as your account is active. If you delete your account, your personal data will be permanently deleted from our systems. You may request deletion of your data at any time by contacting us at the address below. Data Security We take reasonable technical and organizational measures to protect your information, including encrypted data transmission and role-based access controls. Sensitive personal data including your goals, challenges, and AI coaching chat messages are encrypted at the column level in our database using AES-256 encryption. No system is completely secure and we cannot guarantee absolute security. Your Rights You have the right to request access to, correction of, or deletion of your personal data at any time. To submit a privacy or data deletion request, please email us at ascendaleadershipapp@gmail.com with the subject line “Privacy Request”. We will respond within 30 days. Children’s Privacy Ascenda is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. Changes to This Policy We may update this policy from time to time. We will notify you of material changes through the app or by email. Terms of Service
Ascenda Leadership Coaching LLC provides access to the Ascenda platform, including digital tools, content, and AI-enabled leadership development experiences. By accessing or using Ascenda, you agree to these Terms of Service. Eligibility and Accounts You must be at least 18 years old to use Ascenda. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Permitted Use Ascenda is intended for personal and professional leadership development. You agree not to misuse the platform, interfere with its operation, attempt to reverse engineer any features, or use Ascenda for unlawful purposes. No Professional Services Ascenda provides coaching and leadership development tools only. Ascenda does not provide therapy, counseling, medical advice, legal advice, or financial advice. Nothing on the platform constitutes a professional services relationship of any kind. Subscriptions and Billing Access to Ascenda requires a paid subscription. Subscriptions are billed through the Apple App Store or Google Play Store depending on your device. Your subscription will automatically renew at the end of each billing period unless canceled prior to the renewal date. A 7-day free trial is available for new subscribers. After the trial period ends, your subscription will convert to a paid plan unless canceled before the trial expires. Ascenda does not offer refunds or prorated credits for unused subscription periods. All billing disputes and refund requests are subject to the refund policies of the Apple App Store or Google Play Store, as applicable. Ascenda has no control over and bears no responsibility for refund decisions made by those platforms. Account Deletion You may delete your account at any time from within the Ascenda app. Upon account deletion, your personal data will be permanently removed from our systems. Deleting your account does not automatically cancel your subscription. You must cancel your subscription separately through the Apple App Store or Google Play Store before deleting your account to avoid future charges. User Content You retain ownership of all content you submit through Ascenda, including journal entries and coaching responses. By submitting content, you grant Ascenda Leadership Coaching LLC a limited, non-exclusive, royalty-free license to process and use that content solely to provide and improve the Ascenda service. Ascenda does not claim ownership of your content and does not use your personal content to train AI models. Intellectual Property All platform content, features, and technology provided by Ascenda Leadership Coaching LLC are the property of Ascenda Leadership Coaching LLC and are protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works from any platform content without written permission. Limitation of Liability Ascenda is provided on an as-is basis. To the maximum extent permitted by law, Ascenda Leadership Coaching LLC is not liable for any indirect, incidental, special, or consequential damages arising from your use of or inability to use the platform, including but not limited to loss of data, loss of profits, or any damages resulting from reliance on AI-generated content. Termination We may suspend or terminate your access if you violate these Terms. You may stop using Ascenda at any time. Upon termination, your right to access the platform ceases immediately. Privacy Your use of Ascenda is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using Ascenda, you agree to the collection and use of your information as described in the Privacy Policy. Changes to These Terms We may update these Terms from time to time. We will notify you of material changes through the app or by email. Continued use of Ascenda after changes are posted constitutes acceptance of the updated Terms.
